# CRM Data Hygiene: How to Keep Your CRM Clean and Reliable

Your CRM is only as useful as the information inside it.

Even the most advanced CRM platform cannot provide reliable reporting, automation or customer insights when the underlying data is inaccurate.

CRM data hygiene is the ongoing process of keeping customer and business information accurate, consistent, organised and up to date.

It includes identifying incorrect information, removing duplicates, standardising data and making sure new information enters the CRM correctly.

One of the easiest ways to create a messy CRM is importing messy data.

Before uploading a spreadsheet or migrating information from another system, inspect the data carefully.

Check for:

- Duplicate records
- Empty columns
- Inconsistent values
- Unnecessary fields
- Incorrect formatting
- Old contacts
- Missing identifiers

Cleaning information before an import is generally much easier than correcting thousands of records afterwards.

CRM data quality should not depend entirely on individual employees remembering how something should be entered.

Document your standards.

Define important fields, naming conventions, lifecycle stages, ownership rules and required information.

## 8. Schedule Regular CRM Clean-Ups

CRM data hygiene should become part of your operating routine.

Regular checks might include:

- Duplicate records
- Missing properties
- Unassigned contacts
- Inactive deals
- Invalid email addresses
- Old lists
- Unused properties

Small, regular clean-ups are usually easier than waiting until your database becomes difficult to manage.

Clean CRM data becomes especially important as businesses introduce more automation and AI.

Automated systems depend on consistent information.

If a workflow uses industry, lifecycle stage or deal status to decide what happens next, those properties must be trustworthy.

Automation does not automatically correct poor data.
